Processing method: Records are maintained concerning requests for use of personal image or video information for unauthorized purposes, provision to third parties, destruction, viewing etc. Personal image or video information is permanently deleted in an irrecoverable method (shredded or incinerated in case of output) when the storage period expires.

5. Verification method and place of personal image or video information

You may request the maintenance manager of the personal image or video information at any time when you desire to view or verify the existence or deletion of your personal image or video information. However, it shall be limited to the personal image or video information in which you are recorded or that is clearly necessary for urgent rescue of life, physical or financial profits of the owners of such information. You may check the image or video information by visiting the department in charge after giving advance notice to the above-mentioned maintenance managers or persons (under paragraph 3).

6. Actions based on request for viewing of image or video information by the owner

The company will, without delay, take actions when the owner of the personal image or video information requests the viewing or verification of existence or deletion of the same. In the below-listed cases, the company may refuse the owner's request for viewing or verification of the personal image or video information; in such a case, the maintenance manager must inform the owner of the refusal cause in writing within 10 days.

  1. When personal image or video information has been destroyed because the storage period is over.
  2. When the privacy of third parties may be severely infringed when necessary actions are taken against a request for viewing and others.
  3. When the company has other justifiable causes for refusing a request for viewing and others by the owner.

7. Actions for ensuring safety of image or video information

The image or video information handled by the company is maintained in a secure manner using encryption and other actions. Further, the company differentiates the access authority to personal information as an administrative measure for protecting personal image or video information. The company also records and maintains the date and time personal image or video information is created, the purpose, the person and date and time of viewing the personal image or video information in order to prevent forging or tampering. In addition, locking devices are installed in order to store personal image or video information in a physically secure manner.

8. Changes in policy for handling personal information

This policy for operation or maintenance of image or video information processing appliances was enacted on 15 October 2013. The company will publish or notify the causes for and details of changes through its website at least seven days before implementation when the policy contents are added, deleted or revised because of changes in the statutes, policies or security technologies.

Best Western Haeundae Hotel destroys personal information of its members without delay when the purpose of collection or provision of such personal information is accomplished. The procedure and method of destruction are as follows:

    1. Personal information collected through membership subscription is moved to separate database when the purpose of it is accomplished. Based on related legislation, after specific period of time (mentioned in section 5 “Retention of personal information”), the information is destroyed.
    2. Personal information collected is not utilized for other purpose than specified in this privacy policy.
  2. ② Method of destruction
    1. Personal information printed on paper is shredded by shredder.
    2. Personal information saved as electronic file is destroyed technically and cannot be recovered.

7. Rights and their exercise methods of users and legal representatives

  1. Customers or legal representatives can always view or correct their registered personal information. When a customer does not agree with hotel’s policy, he or she can reject to agree or request membership withdrawal. In those cases, some or all service use can be limited.
  2. A customer may directly view or correct personal information by clicking "Member information.” For membership withdrawal, click “Membership Withdrawal.” After identification process, a customer can withdraw membership.
  3. A customer may also contact the Hotel by phone (061-) or submit a request to the person in charge of personal information protection in writing, by phone or e-mail in order to correct personal information or withdraw membership.
  4. When a customer requests correction of personal information, the Hotel does not utilized his or her personal information until the correction is completed. In addition, if incorrect personal information is already offered to a third party, the Hotel will immediately inform the third party and order correction.
  5. Personal information deleted upon request of a customer or a legal representative will be managed according to section 5 “Retention of personal information” and will neither be utilized nor be viewed for other purpose.

    1. To offer customized services, Best Western Haeundae Hotel uses software cookies that store and search specific customer information. Cookies are part of a small program that the Hotel website transmits to the customer's browsers (Internet Explorer, Chrome etc.) The Hotel computer may provide your desired information without any additional information like name in full being entered by you for access to the Hotel computer as the computer reads the cookie details on the customer's browser and locates such additional information on the customer computer. Cookies do not collect personal information either automatically or actively. Customer can reject or delete cookies being stored whenever he or she wants.

    The password of the user ID is encrypted before storing or management of it. Only the user himself may access his personal information. Viewing and correcting personal information is only possible by the user himself who knows the password.

  2. ② Measures against hacking

    The Hotel installs and periodically updates and checks security programs in order to prevent leakage or tampering of any personal information from hacking or computer viruses. All systems are installed in access-controlled areas and monitored and blocked technically and physically.

  3. ③ Minimization of staff members handling personal information and education of staff members

    The Hotel appoints a minimum number of staff members who are allowed to handle personal information and conducts periodic education. Separate password for staffs handling personal information is given and it is regularly changed for security.

  4. ④ Team for protecting personal information

    We have staffs responsible for protecting our customers’ personal information. Internal management plans are developed and implemented to ensure the safe handling of personal information. In-house audits are also performed regularly for security. However, Best Western Haeundae Hotel is not responsible for damage or loss caused by customers’ mistakes or by accidents which is out of our company’s management area.
